The Symbiostock license system has been optimized for the needs of visual artists (photographers, illustrators, vector artists) and mirrors the output of professional stock agencies. The license system is made to be efficient and provide ease of use for microstock artists who require mass application features for handling large quantities of files.

In addition, licenses can be personalized for a variety of other uses, including print sales, physical products, and other mechanisms that do not directly involve digital sales. Many of our users even use it simply as a way of distributing promotional images for free and keeping track of who is downloading what.

Below is a summary of the key licensing features Symbiostock provides:

Create as many global licenses as you need.

Each license can be fully customized, from image size to title, description, and default price.

Global licenses can be applied to any media in your store.

Apply licenses to all the media in your store automatically in bulk or during saves.

Apply licenses based on media type (raster, vector etc.)

Apply licenses based on media size

Apply licenses based on tags (include certain keywords, exclude others)

Apply licenses based on editorial, exclusive.

Apply license changes (price, size etc.) to all products automatically.

Create JPEG licenses for vector images and set the size of the rendered file.

The automatic license application filters can be mixed and matched to provide both simple and highly personalized licensing structures to fit any need.

Your licenses will all link to your central ‘Licenses’ page. This is created by Symbiostock and must remain a ‘Page’ in your WordPress install. You can edit this page from within your control panel to describe the legalese of your licenses.

Details on how to use licensing features can be found in this section.

This guide will quickly explain how to create a new license and apply it to your media for sale to customers.

Adding a new license

Navigate to Symbiostock > Licenses

Create a new license with your preferred name and leave the rest of the fields blank

Your license will show up in the list on the right of the page. Edit it.

Under ‘Default price’ put your desired price for this license.

Scroll down to ‘Main Auto-apply Filters’ – these are the main filtering options that let you decide what media types this new license will apply to. Choose yes for raster images and leave the remaining options disabled.

Save your new license

Now that your license is created and is set to apply to raster images, you can upload a new image and once it is processed by your processor, the license will auto apply to it. If you already have images in your store and want this license to apply to them, follow the following steps.

Applying license changes to products

Edit the license

Click on ‘Update licenses’.

Save your license

Note that this will not apply the filtering changes to your current products immediately. The processor (which should be running on a minute by minute basis) will automatically, over time, re-filter this license through all your products. If, however, you want to apply it quickly to one or more specific products, just go to your Symbiostock > Media list and either quick save, bulk edit, or edit and save that product, which will force re-filtering of all licensing for that specific product.

Infinitely scalable licensing

The reason license editing has been developed in this manner is so that if you have thousands and thousands of images, your server will not crash or overload trying to do all the license filtering on all these thousands of images at once.

Advanced filtering and options

Once you have created your first license, you can use the more advanced filtering methods to personalize how your licenses are applied, output resolutions, types, and more.

Symbiostock comes with a set of default license types that are created when you install Symbiostock. These license types are provided as suggestions and to assist you in getting started. You do not have to use the default license types – you can edit them or delete them and create your very own license types tailored to your specific needs.

To add a new license log into your WordPress dashboard and go to Symbiostock > Licenses.
There are two columns in this section:
– The left side column is the ‘Add New License‘ form which you use to create new licenses.
– The right side column has a table listing all your existing licenses.

To add a new license, navigate to the ‘Add New License’ section as described above. This guide takes you through each ‘Add New License’ form element in order to create a new license.

Name
Here you specify the name of your new license. The license name will appear in your store front so is it best to choose simple and straight forward wording the license name. This field is case sensitive, therefore how you format the license name is what will be visible in you store (eg: if you type ‘SMALL License’, that is exactly how it will appear) unless you have css/coded style elements that override default formatting.

Slug
The “slug” is the URL-friendly version of the name. It is usually all lowercase and contains only letters, numbers, and hyphens. Different licenses cannot share the same slug – if you enter a slug that is being used by an existing license, the system will append the new slug. If you do not enter a slug, the system will try to auto-generate a slug based on the name of the license.

Description
Here you enter a description for your new license. This is primarily useful for keeping track of your license types in your administrative panel, especially if you have unique and varying terms of use for different licenses. Some WordPress themes may display the description on the product page.

To edit an existing license log into your WordPress dashboard and go to Symbiostock > Licenses. All your current licenses will be listed in the table. Find the license you wish to edit and place your cursor over the license’s name. A few action links will appear under the license’s name. Click ‘Edit’. You will then be taken to an ‘Edit License‘ screen where you can alter any, or all, of the license settings. Once you have finished editing the license click ‘Update’ to save the changes.

The ‘Edit License’ form contains the same elements as the ‘Add New License’ form, with many additional settings.

Please note that the Symbiostock Pro licensing settings are now documented in-line. This means that for all information relating to customizing your licenses, use the information provided within your actual Symbiostock license edit page to learn about their use.

For all other queries, please post your question on our forums or search the documentation here.

Some key notes:

Use the Supplementary Auto-apply Filters to add powerful custom filtering to your media licensing system. Most specifically, the required and excluded keywords filter, which allows you to specify licenses by adding or removing keywords to your images.

Changes to your licenses will not apply to products upon saving changes to the licenses themselves. You must either re-save the products in question so they are re-filtered, or click the ‘update license’ checkbox and save that license. Then your processor will systematically re-filter all your products for that license.

Changes to your license pricing only gets updated if you click the ‘update prices’ checkbox when saving, and this also will be processed by the processor. This is to allow you to maintain custom pricing for certain products that may share the same license as others.

Re-order the way licenses appear on the front end to customers by dragging the licenses up and down in the full license list.

<!--

Sell unaltered > Yes / No
This setting specifies whether you want to provide customers the raw file upon purchase. Select 'Yes' to enable downloading of the raw file.

Select 'No' if you only want to provide a raster (JPEG) version of the file for download. This will allow Symbiostock to generate JPEG versions of the file based on the 'Maximum width' and 'Maximum height' settings that you specify. If you have vector files, this feature gives you the flexibility of selling JPEG versions of your vector art.

Default price
Enter the default price that you want applied to media products with this license. Once this is set you can still alter prices of individual products by by editing individual media settings.

Maximum width
Enter the maximum width in pixels that you want this license to be provide to for. This setting is not applicable if 'Sell unaltered' is enabled. Enter '0' to associate the license to the maximum pixel size available.

IMPORTANT NOTE: For Vector Files - If you have enabled 'Sell unaltered' AND you enter '0' for the Maximum width setting, Symbiostock will limit the maximum width to 6000 pixels.

Maximum height
Enter the maximum height in pixels that you want this license to be provide to for. Not applicable if 'Sell unaltered' is enabled. Enter '0' to associate the license to the maximum pixel size available.

IMPORTANT NOTE: For Vector Files - If you have enabled 'Sell unaltered' AND you enter '0' for the Maximum height setting, Symbiostock will limit the maximum height to 6000 pixels.

Saving the New License
Once you have completed all the required fields, click the 'Add New License' button to create your new license. Upon submitting the form, the new license will appear in the list of licenses.

Update licenses?
Check this option if you would like all your current products to have this license added/removed based on the defaults. Using this option will automatically mass apply/remove the license to/from all media products that the license is/was applicable to. Depending on how many files need to be updated, it may take some time for your server's scheduled maintenance processes to complete executing the changes.

Update prices?
If you have altered the 'Default price' for the license, select this option this if you want to update the price of all current products that have this license based on the defaults. Depending on how many files need to be updated, it may take some time for your server's scheduled maintenance processes to complete executing the price change.

If you have altered the 'Default price' for the license and you do not want to update your current product prices with your new price, do not select this option (therefore the price change will only affect future products).

Filters:

Apply to raster images > Yes / No
Select 'Yes' if want the license to be applied to raster images (JPEG, PNG etc.) by default. 'By default' means that when a raster image is published, it will automatically apply to that image. If you do not want the license to automatically apply to raster images, select 'No'.

Apply to vectors > Yes / No
Select 'Yes' if want the license to be applied to vector files by default. 'By default' means that when a vector file is published, it will automatically apply to that media product. If you do not want the license to automatically apply to vector files, select 'No'.

Apply to editorial/exclusive > Yes / No
As above, depending on this setting will include or exclude editorial or exclusive media.

Required keywords
This powerful feature allows you to filter licenses based on the tags/keywords applied to products. So, for example, you can look for 'more expensive' as a keyword, add it to all the images you want to have this license applied. Only images with that keyword will then have this license automatically applied.

Minimum/maximum pixel count
Setting this will limit whether a certain license will be applied to media based on the minimum or maximum dimensions based on the width multiplied by the height.

IMPORTANT NOTE: Changes to licenses do not affect products unless you re-save the product or click on 'update licenses' and/or 'update prices'. Global changes are very heavy on the database and if you have many products, it may take some time process, or fail to process altogether.
